Step 1: Discovery

The most common question we undoubtedly get at the discovery stage is how long the migration will take. The honest answer is, we don’t know; until we do our research. At this stage we need to understand how much data is being migrated and how data heavy the user accounts are. If a migration is urgent, for example if a business has licenses up for renewal and they need to migrate as soon as possible, we can often perform an initial bulk migration to get the ball rolling and save a business unnecessary license costs. Another reason why this discovery stage is so important is to understand exactly what’s being migrated. We’ve previously cut customer migration costs in half by discovering a single data heavy user with files that could be removed from the migration.

Another concern for businesses is knowing their data will be migrated to the destination platform in the correct format. The customers' fears are often overcome after they understand our process and how we structure the migration. As we expand their knowledge of the process, our approach to the migration builds itself. We’ve worked hard to develop the product over the years and now have a success rate of over 99%, which is unmatched by any other tool in the industry. There are some free migration tools on the market, resulting in customers sometimes being surprised by the cost of using our solution, however piece of mind that the migration will be performed successfully outweighs the cost of using CloudM to complete the migration.

Step 2: The Migration

Migrations are different for every organization, however we typically stick to our proven 5 step methodology: Discovery, Testing, Bulk Migration, Delta Migration and Aftercare. Discovery and Testing allow us to minimize the impact on the end user, while performing an initial bulk migration allows us to avoid co-existence on two platforms as much as possible.

Customers often think about performing the migration themselves, and our tool is incredibly intuitive, which means you don’t have to be an engineer to use it. However, businesses sometimes need to consider what they’re looking to get out of their migration. If they don’t have the experience or the resource to perform the migration as efficiently as possible, then it’s worth leaving the migration to us, in order to focus on configuring the destination platform to handle the incoming data e.g. configuring email signatures and provisioning and deprovisioning policies.

Step 3: Aftercare

Migrating is only one step of your migration journey. We have dedicated teams in place to help businesses get the most out of the cloud. For example we have tools, engineers and support teams in place to help businesses configure their joiners, leavers and movers process. This would usually be a time consuming manual administrative task, however this can now be automated. By getting that structure in place, we can help save businesses a lot of time and money, whilst simultaneously reducing demand on their busy IT teams.

Another thing to consider post migration is configuring the platform to be prepared for a second migration further down the line. The amount of cloud-to-cloud migrations is rapidly increasing as businesses begin to research which productivity suites will best work for them. The platform should be configured in such a way that allows for a smooth second transition if another platform is more suitable or the business is going through a merger or acquisition.

Performing migrations is different for every business, there’s no one size fits all. However, here are our three golden top tips of things to consider when moving to the cloud:

  • Prepare and plan as much as possible. Give yourself as much time as you need in order to facilitate a smooth transition.
  • Use the right tool for you. There are free tools available, however migrating to the cloud is an investment in a company's future. Performing the migration successfully, without any issues outweighs the cost of using a more sophisticated tool.
  • Think beyond your go live date. Take the time to prepare your destination platform in order to get the most out of the collaboration and automation tools that will now be at your disposal.
