Chat apps are rapidly gaining popularity. Due to their instantaneous nature, they are the tool of choice for real-time internal team communication, quick questions, and urgent matters in many organizations. When team members leave, retaining their user data and being able to restore it when required is key to fulfilling your compliance requirements. 

CloudM Archive 2.7: Store and restore your leavers’ Google Chat data

CloudM Archive already ensures your users’ Mail and Drive data is stored when they leave the business and can be restored when required, for example as part of a legal challenge. Our most recent release adds Google Chat archiving to the mix. 

What elements of Google Chat can be stored and restored with CloudM Archive?

CloudM Archive secures your Google Chat data, including reactions and attachments, for direct messages in one-to-one conversations as well as conversations with multiple members. It currently does not include Google Spaces.

Where can I see the status of my archived data? 

We’ve added an additional panel to the Archive Status page which shows how many chats (aka direct conversations with one or more individuals), chat messages and attachments have been archived. 

The status of your restorations includes the same information, but on the Restoration Status page. 

Archiving Google Chat: Frequently asked questions

  • How do you handle attached files and links?
    • Links and attachments as well as reactions, images and gifs will be archived and can be restored as and when required. The attachments will be restored to a user’s Google Drive in a separate folder. Messages will be restored as a HTML file, which will reproduce the archived conversations with all content. Please check our knowledge base for detailed information on how to restore an archived version of Google Chat.
  • How can I restore a user’s archived Google Chat data? 
    • There are two ways to restore your Google Chat archives: by item or full restore. Due to Google limitations we cannot currently restore directly into Chat. Instead, you will receive access to an HTML file which can be filtered and searched. Please check our knowledge base for detailed information on how to restore an archived version of a user’s Google Chat.
  • What about Google Hangouts?
    • Google Hangouts was deprecated by Google in 2022. With this release, we will remove the ability to archive Hangouts. However, we will still allow you to restore historical hangouts if they already exist in the Archive bucket. For more information, click here
  • Can I archive Google Spaces?
    • Not yet, but we are looking into adding this to our Archive roadmap.
