What are the 30+ offboarding actions?
Automate & Protect includes over 30 individual steps you can combine into a workflow, covering everything from access revocation to data handover.

These include actions like suspending a user, revoking 2-step verification, removing recovery methods, revoking OAuth tokens and application-specific passwords, transferring ownership of documents, Shared Drives, groups and calendar events, migrating email, and unassigning licenses.

Some steps are required at the start or end of a workflow (like initial approval or final license unassignment/deletion), while most are flexible and can be arranged in any order to match your process. See the full list of offboarding steps.
What’s an Organizational Unit (OU)?
An Organizational Unit (OU) is a way of grouping users in Google Workspace, usually by department, region, or team, so you can apply different offboarding policies to each group.

Here are a few examples of how offboarding processes can look different across teams:

Sales vs. Engineering:
Sales offboarding might transfer ownership of client-facing Shared Drives, contracts, and calendar events to the leaver’s manager, so no meetings are lost.

Engineering offboarding might instead prioritize revoking OAuth tokens and application-specific passwords immediately, since developers often have deeper API and integration access.

Executive vs. Contractor:
An executive’s workflow might include archiving their full mailbox and Drive for long-term legal retention.

A contractor’s workflow might skip archiving altogether and move straight to suspension and deletion since there’s no need to retain their data.
What’s a Smart Team, and how is it different from an OU?
A Smart Team is a way of grouping users in Automate & Protect that can be built around a role, department, or any rule you define.

You can attach offboarding workflows, backup policies, and other automations to a Smart Team which take priority over OU policies. Here’s how they work:

Example 1: Smart Teams take priority
A user is in the Product OU, but also belongs to a Leadership Smart Team with stricter offboarding rules.

When they leave, the Leadership Smart Team workflow runs instead of the Product OU workflow.

Example 2: Smart Teams update automatically
When a user moves from the Sales team to the Partners team, they’re automatically moved from the Sales Smart Team to the Partners Smart Team. Their workflows, backup policies and settings update with them.
How much does archiving leaver data cost?
Archiving with Automate & Protect lets you retain a former employee’s mail, Drive, Calendar, and Contacts at a lower cost than keeping them on a full Google Workspace license, and well below the cost of a Google Archived User license.

What’s included in the audit logs?
Offboarding actions are logged automatically, giving you a record of what happened, when it happened and who triggered it. Logs can be reviewed and exported, helping compliance, security and IT teams evidence offboarding activity without manually building a paper trail.

How does serviced migration pricing work?
Serviced migration pricing depends on your project scope, environment, data volume, timeline and the level of support required.

The Enterprise package is designed for larger or more complex environments and adds dedicated migration specialists, architects, and project leadership, bespoke scoping and migration design, and coordination across internal stakeholders and third-party teams.

How do I buy a serviced migration package?
You can add a serviced migration package when you purchase your Migrate licenses with our sales team. Get started by contacting our team.
What’s a “catch-up run,” and why is it unlimited?
A catch-up run migrates any data created or changed since your last migration pass.

Since migrations often happen in stages, especially for larger organizations, unlimited catch-up runs mean you can re-run your migration as many times as needed throughout your license period. You won’t pay extra and no user data gets left behind between your first pass and go-live.
Can Migrate transfer document version history?
Document version history can be migrated only when the destination is Microsoft 365, including Microsoft 365-to-Microsoft 365 and Google Workspace-to-Microsoft 365 migrations using the SharePoint Migration API.

When migrating to Google Workspace, only the latest version of each document is transferred. Migrating document version history into Google Workspace is not currently supported.

Do users need Google Workspace licenses?
Yes. Google’s lower-cost Business Continuity Plus plan is designed to give users access to a ready-to-use standby environment without the cost of full Google Workspace licences.

The Business Continuity Plus plan supports synchronised email, calendar and chat data and can be used for up to 60 days each year.

CloudM can automatically create Google Workspace accounts for matched Microsoft 365 users who don’t already have one. Google Workspace Business Continuity Plus licenses are purchased separately
Is Business Continuity only for Microsoft 365?
Business Continuity is designed for organizations that rely on Microsoft 365 and need a standby Google Workspace environment during outages. It synchronizes recent Microsoft 365 mail data into Google Workspace so users can continue working if Microsoft 365 goes down.
What does Business Continuity sync?
Business Continuity can sync key Microsoft 365 data into Google Workspace, including mail, calendars, contacts and documents.

When recovering back to Microsoft 365, Business Continuity identifies changes that occured in Google Workspace during the outage and migrate them back to Microsoft 365, ensuring no data is lost.
How much Microsoft 365 data is available during an outage?
The first sync copies the most recent 30 days of Microsoft 365 mail. Scheduled delta syncs then add new and changed mail, building a longer history over time. Mail older than 30 days at the time of the first sync is not copied.
Which sync frequency do I need?
Choose sync frequency based on how much recent Microsoft 365 data each team needs available during an outage.

Weekly sync is best for lower-risk teams that need a basic Microsoft 365 resilience layer.

Daily sync is best for teams where a full day of email downtime could affect customers, operations or decision-making.

Hourly sync is best for mission-critical or regulated teams that need shorter recovery windows and may need to support resilience requirements such as DORA or NIS2.
What happens if we exceed our licensed user limit?
Sync is not interrupted if you exceed your user limit. CloudM Continuity uses soft enforcement, so syncing continues for all matched users and any overage is flagged for commercial follow-up.
